Reformer Rental Agreement – UK & Ireland

This Reformer Rental Agreement ("Agreement") is entered into as of the Effective Date between:

Lessor: The Pilates Collective, registered in the United Kingdom, company number [insert company number], with its registered office at 20 Wenlock Road, London, England (“Lessor”).

Lessee: The individual or organisation entering into this Agreement (“Lessee”).

By proceeding with the rental booking, the Lessee acknowledges and agrees to the following terms and conditions:

1. Rental Terms & Conditions

1.1 Equipment Rental
The Lessor agrees to rent the Pilates Reformer (“Equipment”) in good working condition for the duration specified in the booking confirmation.

1.2 Rental Period & Subscriptions

  • The rental period begins on the delivery date.

  • Rentals operate as a rolling subscription which may be taken as monthly, 3-monthly, 4-monthly, or 6-monthly packages.

  • Subscriptions automatically renew at the end of each period unless cancelled in accordance with the notice requirements in Section 4.1.

  • Extensions or upgrades are subject to availability and must be requested in writing.

1.3 Rental Fees & Payment

  • The Lessee agrees to pay the rental fees as per the selected package at the time of booking.

  • Payment must be made in full prior to delivery.

  • Late payments may result in additional charges or termination of the rental agreement.

2. Delivery, Usage & Maintenance

2.1 Delivery & Collection

  • The Lessor will arrange delivery and setup of the Equipment at the agreed location.

  • At the end of the rental period, the Equipment must be available for collection in the same condition it was received.

  • Any failed collection due to the Lessee’s unavailability may result in additional fees.

  • If the Equipment is not collected on the agreed date, a daily charge of £6.50 will apply until collection is completed.

2.2 Care & Use of Equipment

  • The Equipment must be used only for its intended purpose and in accordance with safety guidelines.

  • The Lessee is responsible for maintaining the Equipment in good condition.

  • Any repairs needed due to misuse, neglect, or damage beyond normal wear and tear will be the responsibility of the Lessee.

2.3 Damage, Loss, or Theft

  • The Lessee must immediately notify the Lessor of any damage, loss, or theft of the Equipment.

  • If the Equipment is lost, stolen, or damaged beyond repair, the Lessee agrees to pay the full replacement cost of £1,699.

3. Liability & Indemnification

3.1 Assumption of Risk
The Lessee acknowledges that the use of Pilates Reformers involves inherent risks and assumes all responsibility for injury, damage, or loss arising from use.

3.2 Liability Waiver
The Lessor shall not be liable for any injury, death, property damage, or other damages resulting from the use of the Equipment, except in cases of gross negligence.

3.3 Indemnification
The Lessee agrees to indemnify and hold the Lessor harmless against any claims, damages, or expenses arising from the Lessee’s use or misuse of the Equipment.

4. Cancellation & Termination

4.1 Cancellation Policy

  • Subscriptions (monthly, 3-monthly, 4-monthly, or 6-monthly) renew automatically unless cancelled.

  • To cancel, the Lessee must provide at least 7 days’ written notice before the next billing date.

  • Cancellations made 48 hours before the scheduled delivery date will receive a full or partial refund.

  • Cancellations made after this period are non-refundable.

4.2 Early Termination

  • Within the first 30 days: no refunds will be provided as there is a 30-day minimum rental requirement.

  • After 30 days: the Lessee may terminate by providing 7 days’ written notice.

  • If the rental duration is shorter than originally booked, charges will be adjusted at the following daily rates:

    • Up to 5 weeks (35 days): £6.50/day

    • Up to 60 days: £6.25/day

    • Up to 90 days: £6.00/day

  • The final rental fee will be recalculated, and any balance must be settled before return of the Equipment.

4.3 Lessor’s Right to Terminate
The Lessor reserves the right to terminate the rental if the Lessee breaches this Agreement. No refunds will be issued in such cases.

5. General Terms

  • The Equipment remains the sole property of the Lessor at all times.

  • This Agreement shall be governed by the laws of England & Wales (for UK rentals) or the Republic of Ireland (for Irish rentals).

  • This Agreement constitutes the entire understanding between the Lessor and the Lessee and supersedes any prior agreements.

  • No modification of this Agreement shall be valid unless in writing and agreed upon by both parties.

Rental Pricing

  • Number of Reformers: 1

  • Monthly Rolling Rental Price: £195 per month

  • Replacement cost if lost, stolen, or damaged beyond repair: £1,699

This pricing applies for the duration of the rental period as agreed upon in this contract.
